Document Management

Document Tags, New MEC Reports, Usability Updates, and More!

We released several new features and improvements this past week:
  • Document Tags
  • New MEC Reports: Newly Added Vendors and Newly Added Accounts
  • Proposal Pre-Tax Price Display
  • Drag and Drop File Attachments on Tasks
  • Task Dependency Indicator
  • Create Project Warning When No Client Selected
Document Tags
You can now tag documents directly inside Financial Cents. 🎉
image
We've added a full document tagging system so your team always knows the action state of any file (New, Downloaded, Needs Review, etc.).
We automatically apply the
New
tag whenever a client uploads a file, and then your team can add or remove tags as needed. Tags sync instantly across all views of the file, so your whole team sees the same picture no matter where they're working.
You can also create your own custom tags with a label and color, rename or recolor existing ones, and delete tags you no longer need.
Lastly, on the
Client Uploads
report, you can now filter by tag to quickly triage which documents need action across all your clients.

New MEC Reports: Newly Added Vendors and Newly Added Accounts
We've shipped two new reports inside the
Month End Close
feature:
  • Newly Added Vendors
  • Newly Added Accounts
Newly Added Vendors
surfaces any vendors that were created within your selected date range, so you can proactively request W-9s as soon as a vendor is added (vs. scrambling at tax time). You can review each vendor, track their W-9 status, and manage everything from inside the client's MEC tab.
image
Newly Added Accounts
gives you a clear view of any chart of accounts additions synced from QBO during your close period. From the report, you can review each account, update the account type and detail type, approve accounts (which pushes the corrected data back to QBO), or hide ones that aren't relevant. Approved accounts move to a dedicated
Approved
tab so you always have a clean record of what's been signed off.

Both reports are also available to add to your projects and templates so it fits right into your existing close workflow.
Proposal Pre-Tax Price Display
Firms that quote work on a pre-tax basis can now choose to show pre-tax prices on proposals.
image
A new
Proposal Preferences
section in
Billing > Settings
lets you set your default for all new proposals, but you can also always change the setting on a per proposal basis.
When pre-tax mode is on, your clients will see pre-tax totals with a note explicitly stating that tax is not included. Tax is still calculated and shown on the generated invoice as usual.
Drag and Drop File Attachments on Tasks
You can now drag and drop files directly onto a task row in the workflow list view to attach them!
Animation
Just drag a file from your desktop onto any
Client Task
or
Team Task
row and it attaches instantly (vs. having to click to
Add Attachment
). The row highlights while you're dragging so you always know where the file is going to upload to.
Task Dependency Indicator
We've improved how task dependencies are surfaced in the workflow list view.
image
Previously, if a task had an unmet dependency, you'd only find out after clicking to complete it. Now, tasks with an outstanding dependency show a greyed-out checkmark directly in the list, so your team can see at a glance which tasks are blocked without any extra clicks.
Create Project Warning When No Client Selected
When creating a project, if you've entered a project name but haven't selected a client, the
Create
button now turns yellow to warn you that you're about to create a project without a client:

This makes it easier to catch an accidental omission before submitting. That said, the button is still fully clickable if you intentionally want to create a project without a client.
